DJ & Music: The Essentials

Music is the heartbeat of any great celebration, and the DJ plays a crucial role in setting the perfect tone for your event. At The Orchards of Molino, we want to ensure that every aspect of your day runs smoothly, including the setup and performance of your DJ. This guide provides essential information for DJs and couples to facilitate seamless planning and execution.

At The Orchards of Molino, we require all vendors to be familiar with our venue policies and procedures. If you are a first-time vendor at our venue, or if you have not yet completed our vendor questionnaire, please do so as soon as possible. This will help prevent any complications in the provision of your services. Please note that, as per our contract with the couple, The Orchards of Molino retains final approval over all vendors providing services for the event.

As the DJ, if you fail to follow the provisions laid out, such as exceeding reasonable decibel levels or acting in an unsafe or unprofessional manner, we will not allow you to return to The Orchards.

Venue Layout and DJ Placement

We have created an extensive diagram detailing ceremony and reception areas, along with the locations of power outlets and potential DJ setup locations. Depending on the couple's preferences, the DJ may need to provide music in up to four separate areas: the Ceremony Site (Pergola, Wedding Cross, Magnolia Fountain, Rotunda, or Glass Hall) and the three reception areas (Glass Hall, Oak Room, and Courtyard).

Ceremony Areas

Pergola

The Pergola is an outdoor ceremony site located in the back lawn. We recommend setting up at the location indicated below with the specified power outlet(s) if needed.


Magnolia Fountain

The Magnolia Fountain is an outdoor ceremony site located in the front lawn. We recommend setting up on the front porch of the house with remote speakers located near the fountain if needed.


Rotunda

The Rotunda is an outdoor ceremony site located in the front lawn. We recommend setting up at the location indicated above with the specified power outlet(s) if needed. The outlet at the Rotunda is a low voltage.


Wedding Cross

The Wedding Cross is an outdoor ceremony site located on the back lawn. We recommend setting up at the location indicated above with the specified power outlet(s) if needed.


Glass Hall

The Glass Hall is an indoor reception space that can be used as “Plan B” in event of inclement weather.

Reception Areas

Oak Room

The Oak Room traditionally provides a refined setting for dinner service. For more intimate celebrations, it can also be used for dancing and post-dinner celebrations.

Glass Hall

The Glass Hall is our dedicated space for the post-dinner reception, where guests can enjoy dancing and celebration.

Ivy Courtyard

The Courtyard typically serves as an elegant space for cocktail hour, and seamlessly extends the post-dinner reception, allowing guests to mingle and enjoy the atmosphere.


Guidelines

To ensure a comfortable and enjoyable experience for all our guests at The Orchards of Molino, we kindly ask that DJs maintain reasonable sound levels. We also strongly prefer minimal or no subwoofer usage to minimize disruption to our property. Please note that The Orchards of Molino reserves the right to request that DJs adjust volume levels as needed.

  1. Cords as Hazards: DJs should never allow cords to run across walkways or areas where guests or staff may trip. All cords must be safely secured and covered.

  2. Unsecured Equipment: DJs should never leave equipment (speakers, stands, etc.) unsecured or in a position where it could easily fall or be knocked over.

  3. Blocking Exits: DJs should never place equipment in a way that blocks or obstructs any exits, fire exits, or emergency routes.

  4. Unauthorized Power Usage: DJs should never use power outlets or circuits beyond their specified capacity, or use unauthorized power sources.

  5. Unattended Equipment: DJs should never leave their equipment unattended while it is powered on and in use.

  6. Damaging the Venue: DJs should never use tape or adhesives that could damage the venue's surfaces (walls, floors, etc.) without prior approval from venue staff.

  7. Unsafe Speaker Placement: DJs should never place speakers in a way that compromises the safety of guests, such as on unstable surfaces or at a height where they could fall.

  8. Consumption of Alcohol: DJs (and all vendors) are strictly prohibited from drinking while on our property.


Logistics and Load-in/Load-Out

To ensure a smooth setup and teardown, please follow these guidelines:

  • Load-In/Load-Out: DJs may load in and load out their equipment during the rental period. Please coordinate your specific arrival and departure times with the coordinator to ensure access and avoid conflicts with other vendors or events.

  • Parking: DJs may park in the designated parking lot during load-in and load-out. To protect our grounds, you are permitted to use a rolling cart with inflatable rubber tires to transport your equipment from your vehicle to the venue areas. Please refrain from driving vehicles on any grassed areas or walkways.

  • Vendor Arrival: Vendors may arrive to set up no earlier than the beginning of the rental period. Please confirm the exact start time with the couple and the Venue Manager.

  • Vendor Departure: All vendor equipment must be removed from the premises by the end of the rental period. This includes all equipment, packaging materials, and any debris. A clean-up fee may be assessed if the venue is left in an unsatisfactory condition.

  • Equipment Storage: Unfortunately, The Orchards of Molino does not have on-site storage facilities for vendor equipment before or after the rental period. Please plan your load-in and load-out accordingly.

  • Venue Equipment: Please inform the Venue Manager in advance if you intend to use any venue-provided equipment (if available). You will be responsible for the proper use and return of any such equipment.

  • Waste Disposal: Vendors are responsible for disposing of all trash and debris generated during setup and teardown. Please use the designated trash receptacles.

  • Post Event Check-out: Before departing, please check in with the Venue Manager to confirm that all equipment has been removed and the area is left in good order.
